Letter to Exhibitors
The National Association for the Study and Performance of African-American
Music, an affiliate member of the Music Educators National Conference, is proud to announce its National Professional Music Symposium in Chesapeake
Virginia at the Chesapeake Conference Center February 19-21, 2009.
The Symposium is designed for band directors, choral directors, orchestral directors,
general music teachers, and all musicians who are involved in music education from Kindergarten through the University and
beyond. It will bring together distinguished performers and composers, eminent music educators, and outstanding choral and
instrumental ensembles and soloists in a variety of clinics, choral and instrumental reading sessions, concerts, and stimulating
panel sessions.
You are cordially invited to be an exhibitor at this
national symposium. If you decide to do so, please execute the contract, which is enclosed. Also note that it is possible for you to
sponsor a clinician, soloist, or guest conductor.
All
exhibits will be in the Promenade of the Chesapeake Conference Center. If you wish to stay at the Marriott Chesapeake
Hotel (Headquarters), my suggestion is that you reserve your own accommodations directly with them. The hotel rate is $104.00 + tax for single or double occupancy and the telephone number is 1-(757) 523-1500.

Rules and Regulations Governing all Exhibits
1. Booth Location Spaces
will be assigned on a “first come-first served” basis predicated upon the date application and payment received.
All spaces must be accompanied by a check for payment in full for the space required. All space applications must be received
by the Exhibit Chairman by February 1, 2005.
2. Cost per Booth: $300.00 Corporate/Government
Vendors $150.00 Independent Vendors
3. Installation of Exhibits: Friday, February
20, 2009, will be the move-in day and booths will be available for installation 7:30 a.m.
4. Hours of Exhibit:
Exhibits will be open 9 a.m. to 5 p.m. on Friday, February 20, 2009 and 9:00 a.m. to 11:30 a.m. Saturday, February
21, 2009.

Description of Space - Booths are 8’ x 10’ with (1) one display
table, and (2) two folding chairs; There is an additional fee for electrical services, if needed.
6. Arrangements
for Special Equipment - Arrangements may be made for supplemental equipment such as display tables and risers, chairs,
carpets, smoke stands, and special decorations. Please contact Exhibit Chairman.
7. Exhibitor Service Center and Registration -
The exhibit contractor will provide an attractive 6-foot- wide registration unit with appropriate furniture necessary to make
it comfortable and efficient. They will provide and maintain during move-in, show hours, and move-out, a fully staffed Exhibitor
Service Center. This area will serve as the focal point for all exhibitor services, including furnishings, signs, material
handling, cleaning, etc.

Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend, and save the Chesapeake Conference
Center and its employees and agents, as well as the NATIONAL ASSOCIATION FOR THE STUDY AND PERFORMANCE OF AFRICAN-AMERICAN
MUSIC (NASPAAM), and its officers and members harmless against all claims, losses and damages to persons or property, governmental
charges or fines and attorney fees arising Out of or caused by Exhibitor’s installation, removal, maintenance, occupancy
or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of the Chesapeake
Conference Center, its employees and agents.
9. In addition, exhibitor acknowledges that the Chesapeake Conference Center
and the NASPAAM do not maintain insurance covering the Exhibitor’s property and that is the sole responsibility of the
exhibitor to obtain business interruption and property damage insurance covering such loses by Exhibitor.
